How to write a proposal with AI in Word: step-by-step guide to the Word add-in [2026]

Write your government proposal with AI directly in Microsoft Word: install the TenderRender add-in from AppSource, sign in, link your project and let AI improve your text.

TenderRenderAI for tenders

In short

You write your government proposal with AI in Word by installing the TenderRender add-in through Add-ins in Word (or through Microsoft AppSource), signing in with your TenderRender account and linking your Word document to the right project. You then select a passage, ask for a check or an improvement in the task pane and decide on every suggestion yourself with Accept or Decline. The AI works with the solicitation documents, your Library and your Brain in TenderRender, and your text stays in your own template.

You do need a TenderRender account from your organization. The add-in in Microsoft Marketplace does not create an account itself.

What do you need?

  • A TenderRender account in your organization's workspace. If your organization does not use TenderRender yet, book a demo; onboarding and training are included in the price.
  • Microsoft Word for the web, Windows or Mac. Word on iPhone and iPad is not supported.
  • A project in TenderRender with the RFP documents in it, so the AI knows the requirements and evaluation criteria.
  • Permission to install add-ins. In some organizations the Microsoft administrator deploys add-ins centrally.

During installation Microsoft shows the ReadWriteDocument permission. TenderRender reads only the document content needed for your instruction and writes back only a change you have accepted.

Step 1. Download and install the Word add-in

  1. Open Microsoft Word and open the document you want to work on.
  2. On the Home tab, click Add-ins.
  3. At the bottom, click More Add-ins.
  4. Choose Find more add-ins at Microsoft AppSource.
  5. Search for TenderRender and open TenderRender's add-in.
  6. Click Add and follow Microsoft's steps.

You can also go straight to the TenderRender page in Microsoft Marketplace and click Get it now.

Do you see Not available in selected billing region, or is the button grayed out? Then access has to be set up for your organization. Ask your Microsoft administrator or TenderRender to check the distribution. Do not create extra personal accounts.

  1. In Word, open the task pane through Home → Open TenderRender.
  2. Click Sign in. Word opens TenderRender in your browser and shows a six-character code in the task pane.
  3. Sign in in the browser as usual, with your password, Microsoft or Google account and two-step verification. Check that the browser shows the same code as Word and drag Slide to connect to the right. A green check mark means Word is connected. You never type your password into Word.
  4. In the task pane, click Select a project and choose the project that belongs to this document. You can search for part of the project or buyer name.

The project choice is saved in the Word document. When you open the same document again later, the add-in carries on in the same project.

Step 3. Choose which knowledge the AI uses

Click the book icon (Manage linked library files) and tick the Library sources that fit this RFP, such as past proposals, resumes or past performance. Click Save.

Want a fixed instruction for this document, such as a tone or a maximum length? Open Edit Document Prompt, write your instruction and click Save. These choices belong to this document and do not change your general Library.

Step 4. Write and improve your text with AI

  1. In Word, select the passage your instruction is about, for example one paragraph of your technical approach or a table cell.
  2. Choose the mode in the chat bar:
    • Ask: the AI answers questions and changes nothing.
    • Edit: the AI suggests changes, sometimes after a follow-up question.
    • Auto: the AI works on more directly, but every change still waits for your review.
  3. Type your instruction and send it. You can also dictate with the microphone or add a file or image to the conversation with the paperclip.

Examples of instructions that work well:

  • "Rewrite this paragraph so it directly answers evaluation factor 2.1 in Section M."
  • "Check whether the claims in this passage match our past performance and say where the evidence is."
  • "Make this 30 percent shorter without dropping the concrete measures."
  • "Summarize the reviewers' comments on this section and suggest an improved version."

Step 5. Accept or decline

You see every suggestion in the document and on a change card in the chat. Click Accept or Decline for each one. Only use Accept all once you have checked every suggestion. After accepting, check the meaning, source and formatting in your own document too.

The add-in can also read reviewers' comments, including the author and whether they are resolved. Select the text a comment belongs to and ask for an improvement. You reply to or resolve comments yourself in Word.

What the add-in does not do

  • It does not create an account. Access runs through your organization and TenderRender.
  • It does not change anything without your decision. Every change waits for you to accept it.
  • It does not submit anything. You submit your proposal yourself through the procurement portal.
  • It does not work in Word on iPhone or iPad.

The chat history in Word is separate from the conversations in the web platform. To have a full proposal section drafted from the requirements and evaluation criteria, do that in TenderRender itself and finish the text in Word afterwards. How that writing works is explained in how to write a government proposal with AI.

Frequently asked questions

How do I write my proposal with AI in Word?

Install the TenderRender add-in through Add-ins in Word, sign in, link your document to the project with the RFP documents and ask for a check or improvement per passage. You accept or decline every suggestion yourself.

Is the Word add-in free to download?

You install the add-in itself at no cost through Microsoft AppSource, but it only works with a paid TenderRender account from your organization. There are no individual personal sign-ups.

Does the add-in work on a Mac and in Word online?

Yes. The add-in works in Word for the web and in Word for desktop on Windows and Mac. Word on iPhone and iPad is not supported.

Do I need Microsoft Copilot?

No. The TenderRender add-in works independently of Copilot. The difference is that TenderRender knows your RFP, your past proposals and your company knowledge from the project.

What happens to my documents?

TenderRender reads only the document content needed for your instruction. TenderRender is ISO 27001 certified, and customer data is stored on European servers, separated per customer.

I see "Not available in selected billing region". What now?

Then distribution has not been set up for your organization yet. Ask your Microsoft administrator or TenderRender to sort it out.
