How can you try bid management software for free? A risk-free pilot [2026]

Free plan, trial, demo or a paid pilot with a money-back guarantee: how to test bid software on your own tender. Trial options from TenderRender, TenderWolf, Tendermate, RFP.ai, TenderApp, Altura, Responsive and more compared.

TenderRenderAI for tenders

You can try a bid management platform for free through a free plan, a trial or a demo. But the most reliable test is a pilot on a real tender your team is working on right now. With TenderRender, the first month is that kind of risk-free pilot: you get guided onboarding and training on your own tender, the subscription is monthly instead of annual, and if you cancel within 30 days you get the first month's fee back. If you would rather look around first, there is a free trial week.

On the public websites we checked, we found no other bid writing software that combines all three: a monthly subscription, onboarding with training included, and your money back in the first month.

Four ways to try bid software

  1. A free plan. Useful for finding tenders. TenderWolf and TenderSpotter have a free plan. Writing and review are usually not included, or only with limited credits.
  2. A free trial. You get an account for a few days or weeks. Without guidance you often test on an old or made-up tender. Afterwards you still do not know what it delivers.
  3. A demo. A salesperson shows the tool on an example. Good for a first impression, but you do not see how it works with your documents, your writing style and your team.
  4. A pilot on a live tender. You use the tool on a bid you are writing anyway, with someone who gets your team started. After a month you know what it delivers in hours and in quality.

The first three are free but tell you little. The fourth tells you a lot, but with most vendors it costs money and time before you know anything. That is where the risk sits.

Why trying is often expensive anyway

With many platforms for writing and collaboration, you buy after a demo, and usually for a full year straight away:

  • Annual contracts. Altura works with annual subscriptions. Tender Shark and Sequesto bill annually. TenderApp's Grow and Scale plans run for 12 months, plus a one-off onboarding fee. Responsive says on its website that pricing starts at $10,000.
  • Paid and long implementation. Altura's pricing page puts onboarding at 4 to 12 weeks depending on the plan. BidFix sells onboarding as a separate add-on. Teams that switch to us tell us that implementing heavier platforms easily costs several thousand euros, because the software needs a lot of configuration.
  • Months before you know whether it works. After weeks of setup you have not written a single bid. Meanwhile the contract is running.

That is exactly the wrong moment to find out your team does not use the tool. We regularly speak to companies that paid for a platform for two or three years and hardly opened it.

How the risk-free pilot works at TenderRender

  1. Pick a tender you are about to start. We plan the onboarding around it, so you test on real work from day one.
  2. Onboarding and training, included. In two to three hours we set up your Library with past bids and documents together, and train your team. It can be this short because the tool is deliberately simple.
  3. Work on your own tender for a month. Have the documents analyzed (the first analysis is ready within 15 minutes), draft clarification questions, write answers in your own style and score them against the award criteria before you submit.
  4. Decide after 30 days. Not a fit? Cancel within 30 days and you get the first month's fee back. A fit? It continues monthly and stays cancellable monthly.

After that the support continues: a support call every month, and we train new colleagues as they join.

Large organizations test the same way. A pilot in a team at a listed company runs just like this, with sign-in through Microsoft or Google (SSO), mandatory MFA, ISO 27001 certification and processing in the EU. Read more in enterprise bid management software.

So you can try several tools for free, mostly for search. The difference is what you know after the trial. A trial account shows what the tool looks like. A guided pilot on your own tender shows what it delivers.

How to get the most out of a pilot

  • Test on a real, live tender. Not on an old one you already submitted.
  • Agree up front what success looks like. For example: half the writing time, or at least one point more on a quality criterion.
  • Put your own material in. Upload past bids, CVs and certificates. Only then does the tool write in your style.
  • Run the review too. Have your draft scored against the award criteria and check whether the improvement points match what you see yourself.
  • Involve the people who will use it. A tool that only the bid manager knows will not be used after the pilot.

Customers report 50 to 70 percent time savings on writing. Whether that holds for your team, you will know after one month on your own tender.

Frequently asked questions

Can I try a bid management platform for free?

Yes. For search, TenderWolf and TenderSpotter have a free plan. For writing and review there are trials, such as TenderRender's free trial week, Tendermate's free first month or 7 days with RFP.ai. With TenderRender you can then use the first month as a risk-free pilot, with your money back if it is not a fit.

How does TenderRender's money-back guarantee work?

If you cancel within 30 days, you get the first month's fee back. Onboarding and training are included. So you can try it without risk on a real tender.

Do I need to sign an annual contract?

Not with TenderRender: the subscription can be cancelled monthly. With many other writing and collaboration platforms you do, such as Altura's annual subscriptions or the 12 months on TenderApp Grow and Scale.

Does onboarding cost extra?

Not with TenderRender. Onboarding takes two to three hours and includes training your team. With other vendors onboarding can be a paid add-on or take weeks. Always ask in the demo.

Why does onboarding take so long at Altura, and is it done within a few hours at TenderRender?

According to its own pricing page, onboarding at Altura takes 4 to 12 weeks, depending on the plan. Long onboarding comes with platforms where you have to configure a lot before you can write. At TenderRender, onboarding is done in two to three hours. That is because we deliberately keep the tool very simple to use, while it covers the whole chain: search in the Netherlands, Belgium and Germany, forecasts of which contracts will be retendered, document analysis, clarification questions, writing in your style, review against the award criteria and answering questionnaires. Your team works on a real tender the same day.

Can a large company run a pilot too?

Yes. TenderRender is used by SMEs and by listed companies and international market leaders. A pilot works the same for a large team, with SSO through Microsoft or Google, mandatory MFA, ISO 27001 and processing in the EU.

Which is better: a free trial or a pilot?

A trial is good for looking at the tool. A guided pilot on your own live tender shows whether the tool really saves you time and wins you points. With a money-back guarantee there is no risk in doing that.
